SEDLESCOMBE PUBLIC PLAYING FIELD & RECREATION GROUND TRUST MINUTES 11/05/10

THE ANNUAL MEETING OF THE PUBLIC PLAYING FIELD AND RECREATION GROUND TRUST WAS HELD IN COMMITTEE ROOM 2 OF SEDLESCOMBE VILLAGE HALL ON TUESDAY 11 MAY 2010, 2005 TO 2015

 

PRESENT: Ralph Dellow, Mary Irwin, John Marland, Pat Martin, Caitlin Wheatley, Valerie Wright, Pauline Raymond

 

T10/11.1 Election of Chairman. RESOLVED: That Valerie Wright is Chairman of the Public Playing Field and Recreation Ground Trust for the ensuing year.
T10/11.2 Election of Secretary. RESOLVED: That Pauline Raymond is Secretary of the Public Playing Field and Recreation Ground Trust for the ensuing year.
T10/11.3 Apologies for absence. Anthony Rand, Pauline Glew and Jenny Mitchell.

T10/11.4 Minutes. RESOLVED: That the Minutes of the Meeting of the Trust held on 09/03/10 are signed as a correct record.
T10/11.5 Annual Report. RESOLVED: That the Annual Report and Accounts/Bank Reconciliation are approved.
T10/11.6 RESOLVED: That Sedlescombe Parish Council will be asked to undertake general maintenance of the Trust property for 2010/11 and that the Trust will reimburse the Council for the money it spends on maintenance work.

T10/11.7 Insurances. The Secretary reported that she had received advice from the Hedley's Solicitors that the Trust should have its own public and legal liability insurance cover. She reported receipt of two insurance quotes and was asked to obtain a further quote from another company. RESOLVED: That, once all the quotes have been received, the Secretary, in consultation with the Chairman, will take out the best insurance cover.

RESOLVED: That an invoice is sent to Sedlescombe Parish Council requesting £1,000 as a part donation for the 2010/11 year.

T10/11.8 Use of tennis courts. The Secretary reported correspondence with HM Revenue & Customs in which it was stated that the Trust is a separate legal entity from the Parish Council, and is not registered for VAT. VAT does not therefore need to be charged on the letting of the courts to the Netball Club. Members discussed the additional cost of making the courts into a Multi Use Games Area (MUGA) if VAT cannot be reclaimed. It was suggested that it might be a good idea for the Charity to register for VAT, even temporarily.
